Set Up Your Own Government Gateway: Why Kent Business Owners Shouldn't Rely on Their Accountant Alone

Here is something we tell every new client across Gravesend, Dartford and Medway, and it surprises a lot of them: no matter how good your accountant is, you are the one legally responsible for meeting your business’s tax deadlines. HMRC does not accept “my accountant was dealing with it” as an excuse for a late return. That is exactly why every business owner should have their own Government Gateway account — and why leaning entirely on someone else’s access is a risk worth fixing at the start of the new year.

What the Government Gateway actually is

The Government Gateway is your secure login to HMRC’s online services. Once you have an ID, it opens your Business Tax Account — a single dashboard showing the taxes your business is registered for, what you owe, when it is due, and what has been filed. Think of it as the front door to your own tax affairs. HMRC is gradually moving sign-in over to the newer GOV.UK One Login, but the principle is the same: one secure account, in your name, that you control.

Why relying only on your accountant is a risk

Here is the part many owners misunderstand. When we act for you, we use our own separate agent access — you never hand us your Gateway login, and we never sit inside your personal account. That is how it should be. But it means if your only route to HMRC is through an accountant, you are one step removed from your own information. If the relationship ends, if there is a dispute over records, if your accountant is ill or unreachable at a critical moment, or if you simply want to check something at the weekend, you can be locked out of your own tax position at the worst possible time. Having your own Gateway removes that single point of failure.

The deadline is legally yours — not ours

This is the heart of it. For a limited company, the directors are responsible for filing and paying on time. For a sole trader, it is you personally. If a return is late or a payment is missed, HMRC issues the penalty and interest to the taxpayer — the business or the individual — regardless of who was meant to press the button. A good accountant makes late filing very unlikely, but the responsibility, and the consequence, always rests with you. Owning your own access means you can always see a deadline coming and, if you ever needed to, meet it yourself with no delay.

What your own account gives you

Beyond peace of mind, a Business Tax Account is genuinely useful day to day:

  • Visibility. See every tax you are registered for, your balances and your deadlines in one place.
  • Control. Check payments have landed, view liabilities, and set up Direct Debits directly with HMRC.
  • A safety net. If you ever needed to file or pay without waiting on anyone, you can.
  • Continuity. Your access stays with you even if your bookkeeper, software or accountant changes.

This doesn’t replace your accountant

To be clear, none of this means doing your own tax. We still act as your agent, prepare and file your returns, and handle HMRC on your behalf — that does not change. Your own Gateway simply sits alongside our agent access as a backstop and a window into your affairs. The two work together: we do the heavy lifting, and you keep ultimate oversight and control of your own account.

How to set it up

Getting started takes about ten minutes. Go to GOV.UK and search “HMRC online services”, then register for a Government Gateway user ID (or sign in with GOV.UK One Login). Choose an “organisation” account for a limited company. Once you are in, you add each tax your business deals with — VAT, Corporation Tax, PAYE and CIS — using the reference numbers HMRC has issued you. Some of these are activated instantly; others need a code that HMRC posts to your registered address, so it is worth doing well before any deadline rather than in a panic.
